Live Painting Venue Checklist for Planners and Decorators

Space, light, power, weather and sightlines all affect a live painting. A practical venue checklist for planners, decorators and venue teams to get it right.

A live painter can only paint what they can see. That simple fact makes venue planning far more important for live painting than for most other event services. A beautiful mandap is no help if the easel ends up behind a pillar, under a speaker or in a pitch-dark corner. This checklist is written for wedding planners, decorators and venue coordinators who want to give the artist the best possible conditions, without disrupting the rest of the event.

Sightlines come first

The single most important question is: where can the artist see the subject clearly for the entire duration of the moment?

  • A slightly elevated or side angle often works better than a straight-on view from the back, where guests' heads block the scene.
  • Avoid pillars, camera cranes and LED screens between the easel and the mandap or stage.
  • Think about guest movement. During pheras, family members crowd around the mandap. Choose a spot that remains clear even then.
  • Check with the videographer. Their cranes, drones and fixed cameras need space too. Agree positions together.

If possible, walk the venue with the artist or share photos and a layout plan in advance.

Space and floor protection

A live painting setup needs roughly two by two metres for the easel, a small side table for paints and a drop cloth. Allow extra room for guests who will gather to watch. On delicate surfaces like marble, wooden floors or hotel carpets, a drop cloth is essential. Most artists bring one, but venue teams appreciate being told in advance.

Keep the setup away from food service routes. A server carrying a tray of drinks and a wet canvas are not a good combination.

Lighting the canvas

Event lighting is designed to make the decor look magical, not to help someone mix accurate colours. Night ceremonies, warm uplighting and coloured washes can make painting difficult.

Practical lighting tips

  • Arrange a neutral white light focused on the canvas, separate from the decor lighting.
  • Make sure the light does not spill into the photographer's frame or shine into guests' eyes.
  • For outdoor daytime events, a canopy or umbrella prevents harsh sun from glaring on the canvas and drying paint too quickly.
  • Ask the decorator not to place moving lights or lasers near the artist.

Power

A lamp or small LED panel usually needs one power point near the easel. Run cables safely along edges, not across walkways. If the venue uses generators, confirm the artist's point will remain live through the event.

Weather and outdoor venues

Rajasthan's outdoor venues, from palace courtyards to desert camps, are stunning but come with weather considerations.

  1. Wind: easels and canvases act like sails. Weighted easels and a sheltered position help.
  2. Dust: in desert locations, dust can settle on wet paint. A partially covered spot is safer.
  3. Heat: intense daytime heat dries acrylics too quickly. Shade is essential for haldi or daytime functions.
  4. Rain: during monsoon events, have a covered backup position ready and a plan to protect the canvas if it needs to be moved.
  5. Cold: winter nights in Jaipur and the desert can be cold enough to slow the artist's hands. A nearby heater is a kindness.

Timing and access

The painter typically arrives one to two hours before the chosen moment to set up and sketch the fixed decor before the crowd arrives. Make sure:

  • The decorator has finished the main structure by then, or at least the key elements.
  • Vendor entry and parking are arranged.
  • Someone can show the artist to the agreed spot without delay.
  • The artist is informed of any changes in ritual timing.

Secure storage and transport

After the event, a wet canvas needs to travel safely. Allow the artist access to their vehicle near the venue, and if the event continues late into the night, designate a safe place where the canvas can rest without being knocked over. For multi-day events, a lockable room or the planner's storage area is ideal.

Coordination with other vendors

Share the painter's position with the decorator, photographer, videographer, DJ and caterer. A short note in the vendor coordination group, with a marked layout, prevents surprises. If you are running several art stations, such as caricatures and nail painting, keep them away from the painter's sightline so queues do not block the view.

Small details that make a big difference

A chair for the artist during long ceremonies, a bottle of water within reach and a nearby place to wash brushes may sound minor, but over five or six hours they matter. So does a quick word with the security team, who otherwise may question someone setting up an easel near the mandap before the guests arrive.

A one-page checklist

  • Clear sightline confirmed for the entire moment.
  • Easel spot marked on the layout.
  • Drop cloth and floor protection planned.
  • Neutral light and power point arranged.
  • Weather backup identified for outdoor venues.
  • Vendor entry, parking and on-site contact shared.
  • Safe storage and transport route for the canvas.
  • All vendors informed of the painter's position.
